Reusable Task Checklists with Rich Content Support

Problem Statement

  • Task checklists are currently tied to individual Task Rules and cannot be reused across multiple rules
  • Checklist items only support plain text — no clickable links or embedded images
  • Each time a similar checklist is needed, it must be recreated from scratch

Current Workaround

  • Manually recreating the same checklist content across multiple Task Rules
  • Typing out URLs as plain text instead of clickable links
  • Unable to include visual references or instructions directly in checklist items

Impact

  • Time-consuming setup when managing multiple properties or similar task types
  • Increased risk of inconsistency across checklists
  • Reduced clarity for team members who would benefit from visual instructions or quick access to linked resources
  • More difficult to maintain and update checklists when changes are needed

Proposed Solution

  • Allow users to create checklist templates independently of Task Rules
  • Enable assigning one or more reusable checklists to any Task Rule
  • Add support for clickable links and images within checklist items (for all task types, not just Marketplace Cleaning)

Unlock

  • Faster task setup with reusable checklist templates
  • Consistent instructions across properties and task types
  • Richer, clearer guidance for team members with visual aids and direct links to resources
  • Easier maintenance — update a template once and have it apply everywhere it's used

To start please make checklist items so they support clickable links or embedded images. This is great when instructing our cleaners, inspectors, and handy people. Thanks!

Ideally, one or more checklists could be automatically selected by a Task Rule based on teammate type, say “Cleaner-in-Training” (CiT) vs “Staff Cleaner”, as well as the property. I envision the CiT checklist including more items, text per item, and photos per item compared to the Staff Cleaner checklist.

Also, being able to add checklists by date within a range would be helpful. I envision a “Winter Seasonal/Holiday Additions” checklist that is included for all cleaners in the months of November and December.

    Thanks,
    Rob
