Pre-Check-In Form in Guest Portal for Collecting Guest Information

Problem Statement:

Hosts with properties in private communities or gated areas are required to collect specific guest information before arrival (e.g., full names of all guests, total guest count, vehicle plate numbers). Currently, there is no built-in way to collect this information directly through Hospitable's guest portal.

Current Workaround:

Hosts must collect this information manually through external methods, such as separate emails, third-party form tools, or direct messaging with guests. Some hosts have considered using fillable fields in rental agreements, but this is not viable when not all guests are required to sign the agreement.

Impact:

• Creates extra administrative work for hosts
• Increases risk of missing required information before check-in
• Results in a fragmented guest experience with multiple touchpoints
• May cause delays or issues with community access if information is not collected in time

Proposed Solution:

Add a pre-check-in form feature to the guest portal where hosts can either:

• Configure fields for guests to complete (e.g., guest names, vehicle information), or
• Upload a custom form for guests to fill out before arrival

Hosts would be able to collect all required guest information in one streamlined location, ensuring compliance with community requirements and providing a smoother, more professional guest experience.
