Internal-Use Reservations (Contractor Visits, Owner Stays) with Operational Visibility but No Guest Automation

We’d love the ability to create a new type of internal-use reservation—designed for owner stays, contractor visits, or other non-guest events—that:

• Appears on the Hospitable calendar and iCal feeds used by cleaning or operations teams

• Allows custom notifications (SMS/email) to be sent to internal contacts like cleaners or contractors

• Enables smart lock access code generation for the scheduled stay

• Does not trigger guest automation (e.g., guest specific messaging flows, third party screening services (Truvi), financial reporting (Clearing etc.), review requests)

• Does not require login or task assignment for contractors or teammates (minimizing friction)

💡 Why It Matters:

Many operational events—such as owner stays, seasonal contractor visits (e.g., HVAC, window washing), or staging teams—require coordination and visibility, but do not represent real guest stays.

Today, hosts must choose between:

• Calendar blocks (which prevent guest automations but offer no visibility to teammates or support access coordination), or

• Manual reservations (which show up on the calendar but trigger workflows tied to guests, including external tools like Truvi and Clearing, and require additional clean-up to avoid incorrect financial reporting)

Alternatively, hosts are forced to cobble together complex, manual workarounds involving multiple Hospitable features:

• Blocking the calendar

• Manually assigning smart lock codes

• Using Operations rules to trigger internal messages

• Messaging cleaners separately outside of Hospitable

• Adjusting reporting manually to zero out financials

This works, but it’s clunky, error-prone, and not scalable.

Add an “Internal Use Only” toggle or checkbox to the manual reservation interface:

Exclude this reservation from guest messaging, financial tracking, and third-party integrations like Truvi or Clearing.

If toggled ON, the reservation would:

• Show on the calendar + iCal feeds

• Allow optional smart lock access

• Allow internal SMS/email notifications

• Exclude it from guest comms, financials, occupancy reports, and external integrations

This would enable simple, native support for:

• Contractor visits

• Owner/family stays

• Pre-listing property access (e.g., real estate, maintenance, staging, content creation)
